Digital Traceability of Material and Waste Movements

The Contractor shall implement a digital traceability system for all material and construction and demolition (C&D) waste movements associated with the Works.

The system must be capable of:

  • Creating a per-load movement record captured once at source, including time and location (GPS), photographs and electronic confirmation at collection and delivery.
  • Recording the full chain-of-custody for each movement (waste producer/holder, carrier and receiving facility), including vehicle, site and facility details.
  • Providing an electronic proof of delivery and/or collection (ePOD) for all movements.
  • Producing audit-ready digital records and export bundles by project, date and lot, suitable for internal audit, client inspection and regulatory reporting.
  • Allowing authorised stakeholders secure access to movement records, with data exportable in commonly used formats (e.g. CSV, Excel, PDF).
  • Maintaining a tamper-evident change log of all records in accordance with GDPR and applicable UK data protection and waste regulations.

The system shall support contractor-led deployment across subcontractors and suppliers without altering contractual responsibilities.

Note: This wording supports contractor-mandated digital traceability and aligns with tightening UK waste tracking and audit expectations (including the Digital Waste Tracking Service) without prescribing a specific vendor or technology.
